    Position Overview:

    We are looking for an Office Manager/Executive Assistant to organize and coordinate office operations to ensure organizational effectiveness and efficiency. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well-organized, flexible and enjoy the administrative challenges of supporting an office of diverse people. Sensitivity to confidential matters is required. Experience working in a corporate setting is highly preferred and a Bachelor's degree is preferred.

    Main Responsibilities Office Manager:

    • Ensure the office consistently runs smoothly, keeping track of office inventory, maintaining on-hand supply and ordering/replenish office supplies and groceries

    • Be the point of contact and coordinate all office services and vendors that support the office

    • Liaise with the building

    • Greet visitors (know their name, who they are coming to see), arrange scheduling, and handle set-up for meetings

    • Answer the firm's main line and direct calls to appropriate person(s)

    • Accept office deliveries and distribute mail

    • Print marketing materials

    • Welcome new employees and assist with new hire intake and paperwork, as needed

    • Interface with IT support

    • Assist with special projects as needed

    Main Responsibilities Executive Assistant:

    • Provide daily administrative assistance to senior management

    • Manage Executive's calendars

    • Arrange heavy domestic and international travel with complex itineraries

    • Schedule and prioritize internal and external meetings

    • Collect all travel-related expense receipts and prepare expense reports for reimbursement

    • Understand business priorities and act accordingly, using best judgment as to which meetings need to be prioritized and which meetings cannot be moved.

    • Answer C-level phones and act as a gatekeeper for important calls and messages

    • Coordinate team offsite events as necessary.

  • Qualifications

    • Bachelor’s Degree is preferred

    • 5+ years of prior administrative experience

    • Relevant work experience in an asset management firm or company with similar pace and structure is a must

    • Strong interpersonal skills & the ability to handle sensitive and confidential situations.

    • Position continually requires demonstrated poise, tact, and diplomacy

    • Proven ability to thrive in a fast-paced environment and demonstrate ability to juggle multiple competing tasks, deadlines, personalities, long and short-term projects, etc.

    • Must be able to interact and communicate with individuals at all levels of the organization including senior executives, etc.

    • Extreme attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines

    • Takes direction well with a positive attitude of no task beneath them

    • Must be able to appropriately handle confidential information and use best judgment for sharing information

  • Desired skills

    • High level of expertise in Microsoft Office: Outlook, Word, Powerpoint and Teams.

  • Compensation
    Salary: $60,000 to $75,000, commensurate with experience. Individual salaries for this role may vary based on various factors including but not limited to, candidate skills and experience. Eligibility to participate in a discretionary annual incentive program is subject to rules governing the program, whereby an award, if any, depends on various factors including but not limited to, individual and organizational performance.
